ABOUT THE ROLE:

As a member of the Intake team, the Centralized Scheduler manages the schedules for all outpatient therapists and is responsible for scheduling appointments for clients. The Centralized Scheduler fields incoming calls and projects timelines in order to promote timeliness of services and productivity. The Centralized Scheduler also provides clients and families with emotional and crisis support when needed. 

KEY AREAS OF RESPONSIBILITY:

  • Speak with clients via phone in order to schedule, cancel, or change appointments.

  • Effectively collaborate with all departments in order to provide potential clients with easy access to agency services.

  • Maintain appropriate personal and professional boundaries with clients, families, co-workers, and community resources.

  • Maintain a polite and professional manner at all times; demonstrate appropriate behaviors, emotions, and communication skills, i.e. frustration tolerance, conflict resolution, and problem-solving skills.

  • Effectively coordinate, collaborate, and communicate with therapists in order to maintain and project schedules and availability. Ensure accurate documentation of all communications; ensure the timely and effective paperwork flow as well as thorough and accurate record-keeping systems.

  • Follow-up with specific program admission personnel to help ensure appropriate customer service.

  • Field all incoming phone inquiries, provide customers with emotional and crisis support when needed, and screen all service requests.

  • Schedule all active client sessions, reschedules, and cancelations for outpatient services

  • Maintain confidentiality and exercise discretion with regards to clients & staff in accordance with HIPAA requirements.

  • Attend and participate in regularly scheduled staff meetings, program development meetings, trainings, and staff retreats.

  • Promote effective teamwork, cooperation, and communication among program personnel.

  • Demonstrate a high degree of skill in communication and positive interaction with all Ryther employees, prospective employees, external agencies/companies, and the community at large.

ESSENTIAL JOB REQUIREMENTS

  • Acceptance of a variety of lifestyles, behaviors, cultural, and spiritual practices.

  • Ability to use office equipment that includes copy machine, telephone, fax, and PC.

  • 21 or more years of age.

  • Bachelor’s degree is preferred. Suitable experience can be substituted.

  • Ability to work as a team member and independently.

  • Knowledge of negotiation and problem-solving skills.

  • Ability to exercise discretion and maintain customer and employee confidentiality.

  • Ability to concurrently work on multiple tasks and to complete emergent assignments within the time frame identified by the supervisor.

  • Ability to model appropriate behavior and socialization skills for clients and their families.

  • Adequate hearing and visual acuity to assess verbal and non-verbal cues.

  • Communicates clearly and effectively, both verbally and in writing, with other agency personnel, referring persons, and the public.

  • Valid state driver’s license and liability insurance.  Must provide own transportation.
