Front Desk Secretary

POSITION DESCRIPTION

The Front Desk Secretary serves as the agency receptionist and general office assistant.  Primary responsibility is to represent the agency in a positive light at all times.

RESPONSIBILITIES
 

  • Maintain a polite and professional manner at all times.

  • Maintain confidentiality with regards to clients and staff and in accordance with HIPPA requirements.

  • Answer all incoming telephone calls; ensure the callers’ needs are being met.

  • Maintain agency appointments; perform reminder calls, schedule appointments, maintain schedule logs, greet visitors upon arrival and notify the appropriate staff.

  • Maintain the lobby and reception area in order to present a clutter-free environment to the public.

  • Monitor and maintain the copy/fax room; ensure room is organized, equipment is in working order, and supplies are adequately stocked, ordering supplies when needed.

  • Perform the following duties as assigned by the supervisor:

    • Assist Medical Staff Assistant with referral communication, and electronic data input​

    • Process incoming and outgoing mail and facsimiles

    • Collect payments and In-kind donations

    • Maintain all agency forms and keep Forms cabinets adequately stocked

    • Perform data entry including, but not limited to, Outcomes data.

    • Maintain agency “room reservation” calendar (including therapy rooms) 

    • Monitor Ryther League key use

    • Perform all work requests within the time frame identified by the requestor

  • Perform opening and/or closing duties as required.

  • Demonstrate a high degree of skill in communication and positive interaction with all Ryther employees, prospective employees, external agencies/companies and the community at large.

  • Perform all other duties assigned by the supervisor.

ESSENTIAL JOB REQUIREMENTS
 

  • Commitment to the Vision, Values and Mission of the agency.

  • Acceptance of a variety of lifestyles, behaviors, cultural, and spiritual practices.

  • High school and/or business school education with minimum of two years office experience.

  • Reception and word processing experience with the ability to type 50 wpm.

  • Proficiency with MS Word, Excel and Outlook, as well as with operating fax, copy, and printer machines.

  • Ability to effectively communicate verbally.

  • Ability to perform a range of physical motions including but not limited to lifting and carrying up to 25 lbs., standing, walking, sitting for long periods of time, and kneeling, squatting and stooping.

  • Ability to use the senses of sight and hearing to effectively perform responsibilities.

  • Ability to work with others in a position of responsibility.

  • Ability to work independently and responsibility.

  • Ability to concurrently work on multiple tasks.

  • Ability to complete priority assignments within the time frame identified by the supervisor.
