ABOUT RYTHER:

We can only achieve this by striving for excellence and providing an array of services that are needed and wanted by the community we serve. We are continuing to expand our service array and locations where we provide services, with therapists in more schools and social service agencies. As we expand our services to serve more than 800 children, youth, and young adults each month – regardless of payer, gender identity, sexual orientation, race or ethnicity, or place of origin – we do so with the intention that we would want our own families to use these services should they need them. ABOUT THE ROLE:

This individual serves as the agency receptionist and general office assistant.  Their primary responsibility is to represent the agency in a positive light at all times.

KEY AREAS OF RESPONSIBILITY:

  • Maintain a polite and professional manner at all times.

  • Maintain confidentiality with regards to clients and staff and in accordance with HIPPA requirements.

  • Answer all incoming telephone calls and ensure the callers’ needs are being met.

  • Maintain agency appointments; perform reminder calls, schedule appointments, maintain schedule logs, greet visitors upon arrival and notify the appropriate staff.

  • Maintain the lobby and reception area in order to present a clutter-free environment to the public.

  • Monitor and maintain the copy/fax room; ensure the room is organized, equipment is in working order, and supplies are adequately stocked, ordering supplies when needed.

  • Perform the following duties as assigned by the supervisor:

    • Assist Medical Staff Assistant with referral communication, and electronic data input

    • Process incoming and outgoing mail and facsimiles

    • Collect payments and In-kind donations

    • Maintain all agency forms and keep  the Forms Cabinets adequately stocked

    • Perform data entry including, but not limited to outcomes data.

    • Maintain agency “room reservation” calendar (including therapy rooms) 

    • Monitor Ryther League key use

    • Perform all work requests within the time frame identified by the requestor

  • Perform opening and/or closing duties as required.

  • Demonstrate a high degree of skill in communication and positive interaction with all Ryther employees, prospective employees, external agencies/companies, and the community at large.

  • ESSENTIAL JOB REQUIREMENTS

  • Acceptance of a variety of lifestyles, behaviors, cultural, and spiritual practices.

  • High school and/or business school education with a minimum of two years of office experience.

  • Reception and word processing experience with the ability to type 50 WPM.

  • Proficiency with MS Word, Excel, and Outlook, as well as with operating fax, copy, and printer machines.

  • Ability to effectively communicate verbally.

  • Ability to perform a range of physical motions including but not limited to lifting and carrying up to 25 lbs., standing, walking, sitting for long periods of time, and kneeling, squatting, and stooping.

  • Ability to use the senses of sight and hearing to effectively perform responsibilities.

  • Ability to work with others in a position of responsibility.

  • Ability to work independently and responsibly.

  • Ability to concurrently work on multiple tasks.

  • Ability to complete priority assignments within the time frame identified by the supervisor.
